Proposal Status and Notification

The Office for Research and Grants (ORG) is the central repository for sponsored research records. Proper documentation is essential for institutional recordkeeping and reporting, post-award grant management, and notification of appropriate campus offices.

Award Acceptance

Normally both ORG and the principal investigator (PI) receive official notification of awards. On those occasions where notification is sent only to the PI, the PI must send a copy of the award notification and any accompanying documentation to the ORG so acceptance is not delayed. ORG will review the award letter and budget to ensure that the terms and conditions are agreeable to all parties and obtain all necessary signatures. Faculty members lack authority to make financial commitments on behalf of GCU; therefore, the ORG must conduct any negotiations with the funding agency.

The funding agency may request revisions to the proposal before funds are committed. These revisions may be as simple as clarifying the project objectives or may require the reallocation, modification, or withdrawal of budget line items.  These revisions must be discussed with the ORG.

Verbal agreements regarding revisions should be followed by a written confirmation and signed by the principal investigator and the grants administrator.

GCU does not permit principal investigators to incur pre-award costs for any externally funded project.

Fund Establishment

Upon receipt of an award for a grant, contract, or cooperative agreement, ORG will work with the PI and University Finance and Business Administration to establish a separate fund number for the project. Expenditures incurred in the performance of the project are charged to this fund number.  Once the funds are set up, a kick-off meeting is scheduled with the PI, the ORG, and Finance and Business Administration.

Sub-Agreements

Any new outgoing subawards and contracts required under the award are managed by the ORG, in accordance with the award terms and conditions.
